Privacy Policy

Last updated: September 2026 • Governed under the Personal Information Protection and Electronic Documents Act (PIPEDA)

1. Our Commitment to Privacy

Spartan 480 Engineering Inc. (“Spartan 480,” “we,” “us,” or “our”) is committed to protecting the privacy and confidentiality of personal and business information entrusted to us. This Privacy Policy outlines how we collect, use, disclose, and safeguard information gathered through our website (spartan480engineering.com) and direct project consultations, in compliance with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and Ontario provincial privacy laws.

2. Information We Collect

We collect information only when voluntarily submitted by you through our online inquiry form, email, or telephone conversations. This information may include:

  • Contact Information: Your full name, professional title, business organization or agency name, telephone number, and email address.
  • Project Details: Project municipality, draft plan or subdivision location, scope of work, timeline, and preliminary documentation or hearing requirements.
  • Technical Data: Standard server logs kept by our hosting provider (such as IP address, browser type and pages requested) to keep the site running and secure.
  • Analytics Data (only with your consent): If you accept analytics cookies, Google Analytics collects usage information about your visit. See Section 6.

3. Purpose & Use of Your Information

We collect and use your information strictly for legitimate professional engineering purposes, including:

  • Evaluating prospective project scopes, municipal capital works, and land development files.
  • Preparing customized engineering proposals, scopes of work, and agreed-upon fixed fee agreements.
  • Communicating directly regarding municipal review schedules, Ontario Land Tribunal (OLT) hearings, or site servicing files.
  • Maintaining administrative and business records as required by professional engineering practice standards in Ontario.

4. Zero Third-Party Sale or Commercial Disclosure

We do not sell, rent, lease, or trade personal or project contact information to any third party or marketing network. Information provided is accessible only to Principal Engineer Jim G. Koutroubis, P.Eng. and authorized engineering personnel. We disclose information only when:

  • Explicitly authorized by you to coordinate with municipal staff, conservation authorities, or specialized subconsultants.
  • Required by law, regulation, legal process, or professional engineering regulatory requirements under Professional Engineers Ontario (PEO).

We also rely on a small number of service providers that process information on our behalf, such as our website host and, if you consent, Google (for analytics). They may only use it to provide their service to us.

5. Data Security & Retention

We maintain technical, organizational, and physical safeguards designed to protect personal and confidential project information against unauthorized access, loss, alteration, or misuse. Information submitted via our website is transmitted over encrypted TLS connections. We retain project inquiry records only for as long as necessary to fulfill the operational and legal purposes for which they were collected.

6. Cookies & Web Analytics

We use Google Analytics 4, a web analytics service provided by Google LLC, to understand how visitors find and use our website. Google Analytics only loads if you click “Accept analytics” in the cookie banner. If you decline, or make no choice, no Google Analytics code runs and no analytics cookies are set.

When you consent, Google Analytics collects:

  • Pages you view, how long you stay, and interactions such as scrolling, outbound link clicks and file downloads.
  • How you arrived at the site (for example a search engine, another website or a direct visit).
  • Device, browser, operating system, screen size and language.
  • Approximate location (city or region), which Google derives from your IP address. Google Analytics 4 does not log or store IP addresses.
  • A randomly generated identifier stored in the _ga and _ga_<ID> cookies, which expire after up to two years, so repeat visits can be counted.

We use this information only in aggregate to improve the website. We do not use it to identify you. Google may process this data on servers outside Canada, including in the United States. Learn more in how Google uses information from sites that use its services.

Your choice is stored in a first-party cookie named s480_consent for 180 days, so we don't ask you on every visit. It records only whether you accepted or declined.

Withdrawing consent: you can change your mind at any time using the “Cookie Settings” link in the footer of every page. Choosing “Decline” stops analytics immediately and deletes the Google Analytics cookies from your browser. You can also clear cookies in your browser settings or install the Google Analytics opt-out browser add-on. Declining never affects your ability to browse the site or submit a project inquiry.

7. Your Rights & Access

Under PIPEDA, you have the right to request access to the personal information we hold about you, request corrections to inaccurate records, or request that your contact details be removed from our prospective consultation files, subject to legal and regulatory retention requirements.
